Program Policies

Welcome to Young Dragonslayers!

We're so happy to have you here! Our D&D groups are intended to help tweens and teens make new friendships, practice social skills, and engage in a fun and rewarding online activity. This is a recreational group that focuses on emotional exploration but is not intended to be therapy or a replacement for counseling.

Please read the following to ensure that you've understood and agree to our policies.

Participation Fee

The fee for this 10-week package of 90-minute game sessions is $495, payable either upfront or as 3 installments billed monthly beginning at signup.

Online Program Format

Our online groups meet simultaneously on Zoom as well as another game-specific platform such as DNDBeyond, Roll20, or Discord. In keeping with Discord’s terms of service, we only offer this platform as an option in groups where all players are 13 or older.

Third-Party Platforms

Our program uses third-party platforms such as Zoom, Discord, Roll20, and D&D Beyond. By participating, you acknowledge that these platforms are not controlled by Young Dragonslayers and are subject to their own terms of service and privacy practices. Young Dragonslayers is not responsible for outages, data breaches, or other issues arising from third-party platforms.

Age Restrictions

While we recommend our groups for ages 11-17, we will occasionally make exceptions for slightly older or younger players (e.g., a 10-year-old or 18-year-old.) Players may remain in the program until the summer after high school graduation.

Privacy and Parental Consent

We take the safety and privacy of our minor players very seriously. We collect only the information necessary to provide our services and comply with applicable laws, including the Children’s Online Privacy Protection Act (COPPA). Our key practices include:

  • Parental Consent: Personal information from children under 13 is collected only with verifiable parental consent during our initial parent-child meeting.

  • Data Security: All data is stored securely, and sensitive information is encrypted to prevent unauthorized access.

  • Parental Rights: Parents may review, delete, or revoke consent for their child’s information by contacting us at hello@youngdragonslayers.com.

Confidentiality

Any personal or identifying information shared with the group will be kept private, and all group members will also be asked to maintain confidentiality based on the honor system. Children are welcome to share as much or as little about their personal lives as feels comfortable for them.

Non-identifying content related to game play, such as plot points or events that occur during roleplay, may occasionally be shared with the players' permission on our social media.

Confidentiality must be broken if a child shares information about child or elder abuse, or if a child's statements or behaviors suggest she may be at imminent risk of harming herself or another person. In this situation, we would contact parents and any other needed help immediately.

Attendance and Lateness

Our groups are small, and each session builds on the previous one, so we encourage consistent attendance to maximize your child’s experience in the group. We understand that conflicts may arise, but please note that we are unable to provide refunds for missed sessions.

If your child will be late to a session, please notify the facilitator directly via email or Discord.

A minimum of two players are required to run a session. If fewer than two players are present by the 20-minute mark and no communication has been received from the other players, the facilitator may choose to cancel the session early. In this case, the player in attendance will receive a refund for the canceled session.

We encourage players to notify us as early as possible if they will be unable to attend or will be late, to help ensure smooth group dynamics.

Cancellations and Reschedules

In the event that a facilitator is ill or otherwise unable to attend a game session, we will provide a vetted and background-checked substitute facilitator for that week’s meeting. If a substitute facilitator is required, we will notify parents/guardians ahead of time to ensure they are aware of the change. If a substitute is not available, we will reschedule the session for a later date.

In the unlikely event that rescheduling is not an option, we will issue a refund for that week’s session to all players. If the rescheduled session does not work for a parent or player, a refund will also be provided.

Refunds

Enrollment reserves your child’s spot in a small, ongoing group and is sold as a full-session package. As such, we do not offer refunds for missed sessions, partial attendance, or voluntary withdrawal from the program.

If a participant withdraws, any unused portion of their payment may be applied as a credit toward a future term.

If a session is canceled or significantly disrupted due to an issue on our end and cannot be rescheduled, we will issue a refund for that individual session.

Code of Conduct

We strive to create a safe and supportive environment for all players. In our initial session, we set boundaries around what kind of content will be allowed in the game's storyline, and also set rules for group behavior, including:

• Speaking respectfully to peers and instructors

• Welcoming players of all races, backgrounds, genders, and abilities

• Playing collaboratively with peers

We address any issues that arise with in-session reminders of rules, private reminder messages to players, or communication with parents. In the event that a child is very emotional, we may suggest they take a break and temporarily leave the Zoom call so they can regain composure.

If a child repeatedly breaks group rules, or if we determine that a player has needs that we cannot adequately support, we may ask them to leave the group and refer them to a more therapeutic setting. Players dismissed from the program due to violations of the code of conduct will not be issued a refund.

Non-Clinical Services

Young Dragonslayers offers recreational group experiences that support social development and connection through collaborative gameplay. While elements of emotional learning may naturally occur, our program is not a substitute for mental health treatment and does not constitute therapy, counseling, or clinical care. Participation does not establish a therapist-client relationship between participants and facilitators.

Independent Contractors

Young Dragonslayers facilitators are independent contractors and are not employees of Young Dragonslayers. While we carefully vet, train, and support our facilitators, each facilitator is responsible for their own conduct. Young Dragonslayers is not liable for the independent actions of facilitators beyond what is required by law.

Liability Disclaimer

We monitor all in-game interactions between players, but we’re unable to monitor conversations that occur on third party platforms or outside of our designated game hours. Please exercise appropriate caution when allowing your child to interact with other players, and monitor their activity as you would any other time spent on the internet.

While we prioritize safety and provide a supportive environment, participation is at your own risk. We are not responsible for any technical issues, third-party platform malfunctions, or unintended outcomes of gameplay. By enrolling, you agree to release Young Dragonslayers and its facilitators from liability for claims arising from participation in our program.
